Executive Assistant Job Opening

Background: The Climate Justice Alliance (CJA) is seeking a full-time Executive Assistant  to support the system, operations, and day-to-day activities  of  CJA and its campaigns. This is a full-time, one-year employment with the possibility of being extended. Located in the DC.

 

CJA’s mission is to forge a socially and economically just transition away from an extractive economy and towards healthy, resilient local communities, to address the root causes of climate change.  In 2012, CJA developed the Our Power Campaign engaging 40 member organizations to create a vision that supports local and national campaign goals rooted in front line, community-based struggles, including those of Indigenous peoples, people of color, new immigrants and working class peoples.  The CJA seeks to catalyze a broad-based, scalable campaign for transition away from industries that undermine the well-being of human communities and environmental systems – like dirty energy , industrial-scale manufacturing and agribusiness – and transform local economies into models of sustainability, equity, and resilience.  The Campaign supports local organizing through peer-exchange, trainings and direct action, and coalition work to advance policies to end extreme energy and promote climate-protecting jobs.

 

Job Description  - Executive Assistant

The CJA Executive Assistant is a high functioning, organized systems thinker focused on solutions, efficiency, and strengthening relationships between stakeholders utilizing a combination of administrative and managerial support functions.   They are responsible for supporting the Our Power Communities Strategy and Implementation plan as described below.  They report to the Executive Director and work in consultation with other CJA staff, work groups, organizers, policy, research, funder engagement personnel and regional anchor organizations across the nation to best assure the success of the alliance into the future..

 

Responsibilities include:

 

Provides Administrative Support to the ED (50%)

  • Manage the ED’s calendar, arranged complex travel plans, crafts detailed itineraries, and anticipates logistical and administrative needs

  • Prepare administrative  correspondence, memos, and reports using Word, Pages, Powerpoint, Basecamp,  and other innovative software applications and programs

  • Implement internal and external meeting schedules, ensuring high-level communication on behalf of ED with philanthropic allies, members, and external partners.

  • Communicate clearly and accurately on behalf of CJA and the ED

  • Prepare event logistics, meeting spaces and agendas

  • Create and revise systems and procedures to increase efficiencies

  • Research and analyze information to support administrative and executive initiatives

  • Help execute CJA’s ED’s social media plan and regular updates

  • Screen incoming communication and responds appropriately

Maintain Financial Record Keeping (30%)

  • Handle basic bookkeeping responsibilities. Track income and expenses.

  • Develop forecast budgets for projects/events and reconcile budgets.

  • Form a collaborative relationship with our fiscal sponsor with regular check-ins to reconcile expenses, income and monthly budgets.

  • Prepare weekly credit card coding and process receipt collection.

  • Generate vendor/consultants contracts for executive review.

  • Request and review monthly financial statements from fiscal sponsor and prepare for quarterly steering committee review.

 

Maintain Knowledge Management System and Program Support (20%)

  • Coordinate staff use of Nation-builder database, ensuring flow of information, accuracy of records, and usage of system supports the development goals of CJA.

  • Coordinate Nation-Builder, Google Calendar, Google-Docs, and BaseCamp data entry with staff team, data management and reporting processes.

  • Act as primary contact with CJA vendors and contractors.

  • Maintain and manage CJA’s main calendar in coordination with project calendars to support the coordination of organization-wide operations.

  • Purchase and track office supplies and organization inventory and the development of regional hub needs.

  • Take notes for Membership and Staff Calls.

  • Maintain regional hub and remote work efficiency by planning and implementing systems to improve communications and workflow.

  • Maintain confidentiality of all organizational and personnel matters.

  • Maintain the CJA list-serves updates, send reminders for monthly work groups.

Qualifications:

  • Bachelor’s Degree required, and minimum 5 years of experience supporting a national alliance and/or grassroots organization.  

  • Strong organizational skills and proven high attention to detail

  • Excellent professionalism and judgement

  • Strong ability to prioritize and plan work activities, using time efficiently, handling multiple tasks and projects

  • Proven ability to identify and resolve problems in a timely manner

  • Persuasive verbal and written communication skills

  • Strong command of Google Documents, open source documents

  • Past experience working within online content management systems and working remotely

  • Collaborative and positive attitude

  • Adaptable to changes in the work environment, manages competing demands and is able to deal positively with frequent change, delays or unexpected events

  • Capacity to maintain confidentiality with high level internal documents

  • Agreement with and commitment to CJA’s mission and values
